Terms & Conditions
Please review these Terms and Conditions carefully before you use this website or submit any request.
Our platform offers private support services related to visa applications, document handling, and related processing assistance (collectively, the "Services"). This website is not operated by, affiliated with, endorsed by, or sponsored by any government agency or embassy. By using our website or related mobile access channels, you agree to these Terms of Service, which may be revised from time to time at our sole discretion.
Certain Services may include additional terms that apply to those specific features. Those extra terms, together with our Privacy Policy, form part of your agreement with us. By continuing to use our Services, you confirm acceptance of all applicable terms and updates.
Access and Use of the Service
- Registration Obligations
Some features may require you to create an account before use. If you register, you agree to provide accurate, complete, and current information in all required fields. Account information and related personal data are handled in line with our Privacy Policy. Users under 18 years of age are not permitted to use the Service, regardless of registration status.
- Member Account, Password, and Security
You are responsible for keeping your login details secure and for all actions taken through your account. You must notify us immediately if you suspect unauthorized access or any security incident. You should also sign out at the end of each session, particularly on shared devices. We are not liable for losses resulting from failure to follow these account-security obligations.
- Modifications to Service
We may modify, suspend, limit, or discontinue all or part of the Service at any time, either temporarily or permanently, with or without prior notice. By using the Service, you accept that we are not responsible to you or any third party for outcomes resulting from such changes or interruptions.
- Mobile Service
Certain service functions can be accessed using mobile devices and are referred to as “Mobile Services”. If you use Mobile Services, your carrier may apply message, data, or other network charges. Carrier restrictions may limit some features, and not every function is available on every device or provider.
By using Mobile Services, you agree to receive communications from us and our service partners through SMS, MMS, text, or similar electronic methods. Limited service-usage information may also be shared with us for operational support. If your phone number changes or is deactivated, you must promptly update your account details to prevent notices from being sent to another person.
Delivery Times
We make reasonable efforts to meet expected processing and delivery timelines, but exact completion dates cannot be guaranteed.
We are not responsible for delay or loss caused by events outside our control, including severe weather, natural disasters, conflict, civil disturbance, labor actions, or decisions and outages involving public authorities and government systems.
Visa rules and requirements are defined by the relevant government and may change without notice. Although we aim to keep information current and accurate, we do not guarantee completeness or error-free content, and reliance on such information is at your own risk.
Cancellation and Refund Support for Travel Documentation Services
At www.malawi-evisa.com, we recognize that travel arrangements can change unexpectedly. Our cancellation and refund framework is written to be transparent, practical, and consistent with applicable immigration procedures. Please review the conditions below before requesting cancellation or refund.
Eligibility for Cancellation
- For Normal processing orders, cancellation should be requested within 1 hour of order placement. For urgent, rush, and super-rush processing, cancellation should be submitted within 15 minutes of order submission.
- A cancellation request may be accepted when the application has been submitted but has not entered official authority-side processing.
- Once a case is forwarded to senior consular review, or has moved to under-review/approved status, cancellation may no longer be available.
- If required documents or information are not provided within the requested timeframe, the order may be auto-cancelled without refund eligibility.
- If an application is cancelled and then rejected, cancellation cannot be reopened and the paid fee remains non-refundable.
- Where duplicate applications are submitted, one may be cancelled only before processing has started.
- If a customer chooses not to travel, cancellation may be requested before active processing begins.
- If additional documents are requested and not submitted in time, resulting refusal may make the case ineligible for refund.
- Refunds are not issued where cancellation or refusal is caused by incorrect, incomplete, or misleading information provided by the applicant. While we provide assistance, responsibility for data accuracy and document authenticity remains with the customer.
- For duplicate payments, evidence of both transactions must be submitted before refund review. After verification, duplicate-payment refunds may require 3 to 5 business days to process.
Refund Policy
- A refund may be approved when cancellation is requested before processing begins.
- If travel becomes impossible due to force majeure events, such as medical emergencies or unforeseeable personal circumstances, cancellation is reviewed based on the current processing stage.
- If technical disruptions affect processing systems, cancellation and refund outcomes are evaluated case by case.
- Applicants should confirm visa validity against planned travel dates before applying. If plans change, cancellation should be requested before processing starts, because changes are generally unavailable once active processing begins.
- If an incorrect visa category is selected, cancellation/refund may only be considered when requested before authority-side processing begins.
- If a visa is refused due to prior travel violations, ineligibility, or previous refusals, fees remain non-refundable.
- Approved refunds are returned through the same payment method used for the original order; alternate payout methods are not supported.
No Cancellation & Refund After Visa Issuance
- After visa issuance, the case cannot be cancelled and is not eligible for refund.
- If an approved visa is not used, or the traveler later chooses a different entry option, the issued visa remains valid for its designated validity period and cannot be revoked by request.
- All service fees remain non-refundable once issuance is completed.
Processing Time for Cancellation & Refund and data security
- Cancellation and refund requests are generally handled promptly after receipt. Once approved, refund settlement may take 4-17 business days to appear in your bank account.
- Following confirmed cancellation, personal details linked to that request are removed from active processing records.
Additional Considerations
- Refund Fee: A handling fee of $20 or more may apply to eligible refunds. For non-USD currencies, amounts may vary due to market-rate movement and payment-processing costs.
- Refund Cancellations: A refund transfer may be reversed or delayed when payment issues arise from customer-provided details.
- Currency Variations: The returned amount may differ slightly from the original payment because exchange rates can change between payment and refund dates.
At www.malawi-evisa.com, we aim to deliver consistent service with fair and transparent policy handling. If you need any clarification, please contact our support team.
Limitation of Liability
You agree that we are not liable for indirect, incidental, special, consequential, or exemplary damages, including loss of profit, goodwill, data, use value, or other non-tangible losses, even where potential risk has been communicated in advance. This exclusion applies to claims arising from, including but not limited to, the following situations:
(i) access to, use of, or inability to use the service;
(ii) expenses for substitute services, information, goods, or transactions connected to the service;
(iii) unauthorized access to, or modification of, your transmissions or stored data;
(iv) acts, statements, or behavior of third parties related to the service; or
(v) any other issue connected with service usage.
Our maximum total liability for all claims will not exceed ninety-nine USD ($99). This cap applies to all legal bases, including contract, tort, negligence, strict liability, and similar causes of action.
We implement recognized technical safeguards, including SSL encryption and secured communication channels, to protect data in our systems. Even with reasonable protections, no online system can guarantee complete immunity from cyber threats, malware, or unauthorized attacks. Where a breach occurs due to circumstances beyond our reasonable control, related losses may not be recoverable from us.
Users should maintain strong account passwords, avoid disclosing sensitive information unnecessarily, and follow standard online security practices. If desired, users may also obtain additional protection such as cyber-risk insurance coverage.
Payment Processing
Payments are handled through established third-party providers, including platforms such as PayPal, Stripe, Spreedly, Amazon, Braintree, and similar processors. Full card data is not stored on our own servers.
Transaction exchanges between our platform and payment gateways use 256-bit SSL encryption. Under normal operation, unencrypted cardholder details are not transmitted through these channels. Payment processors maintain their own controls to help prevent unauthorized access and misuse.
We treat financial and personal data protection as a priority and work with trusted payment partners to maintain secure transaction handling standards.
Disclaimer of Warranties
Your use of this service is entirely at your own risk. The service is provided on an "as is" and "as available" basis, without guaranteed availability, uninterrupted access, or specific performance outcomes. To the fullest extent allowed by law, we disclaim all express, implied, and statutory warranties, including merchantability, fitness for a particular purpose, title, and non-infringement.
Service Regulation
Visa regulations and administrative criteria may change at any time without prior notice from authorities. We are not responsible for losses, delays, or disruptions resulting from those regulatory changes.
We are also not liable for costs or damages linked to revised travel plans, interruptions, travel restrictions, or associated expenses, whether direct, incidental, special, or consequential. Under all circumstances, liability is limited to the amount of service fees paid for visa, photo, or passport support services, even if possible losses were foreseeable.
Cookies and Other Electronic Technologies
To improve performance and user experience, we may collect usage data through server logs, cookies, and tracking technologies. You may configure browser settings to alert you when cookies are created or modified, or to block cookies entirely where your browser allows.
Information Collected From Third Parties & Online Analytics
We may use third-party analytics tools, such as Google Analytics, to understand service performance and user interaction trends. We may also receive limited information from external sources, including social platforms or partner websites. If you sign in through third-party accounts such as Google or Facebook, related account data may be shared according to that provider's permissions.
Retention of the Information We Collect
We retain information for the period reasonably required to deliver services, satisfy legal duties, and fulfill legitimate operational needs. Once active processing is complete, personal data may be securely restricted in our systems for the following purposes:
- To protect lawful interests in relation to contractual or program-related claims.
- To comply with applicable legal and regulatory obligations.
- To complete investigations into suspected fraud or unlawful conduct.
Cookie-related data may be stored until consent is withdrawn or required retention timelines expire. After retention obligations are met, personal data is securely deleted from our systems.
Where processing relies on your consent, you may withdraw that consent at any time. After receiving a valid request, we will handle deletion or processing restriction in accordance with applicable law.
Our Disclosure of Your Personal Data and Other Information
We may disclose collected information in the circumstances listed below:
As part of normal business development, data may be disclosed during mergers, acquisitions, sales of assets, reorganizations, dissolutions, or similar transactions, including related negotiation and due-diligence stages. We may also share data with affiliates for purposes consistent with this policy.
We may appoint third-party providers to perform specific tasks on our behalf, including communications, document support, database maintenance, and payment operations. Such providers are expected to operate under applicable privacy and data-protection obligations.
We may share your information with third parties when you provide explicit consent.
Legal Requirements. We may disclose personal information when required by law, court order, regulatory request, or where disclosure is reasonably necessary to satisfy a legal obligation.
